Opening and Closing Procedures
Building Opening Procedure
By following this standard operating procedure, businesses can effectively open and operate the building, and can ensure that the space is prepared, equipped, and organized in a manner that supports the needs of the staff and visitors. Being the first one at the building in the morning means you’re responsible for ensuring that the building is ready for the day’s work.
Here are the steps for opening the building:
- Enter the building and disarm the security system. Note: There are 60 seconds after entry to deactivate the alarm.
- Unlock both front and rear doors.
- Turn on ceiling, wall, and chandelier lights. Note: Back hallways and upstairs conference room lights are automatic.
- Sweep front and back entrances as needed, clear snow from entrances and apply snowmelt if necessary.
- If there was a previous day rental or event(s), check and note any damages or the need for additional cleaning and report such to the Building Manager.
- Verify that all necessary preparations have been made for the building opening, including checking the entire building for cleanliness, arranging the physical space, setting up equipment and systems, activate A/V equipment, and organize/restock supplies and materials.
- Perform a safety and security check of the building and ensure that all necessary measures are in place to protect the health and safety of visitors. This includes walking the Fireplace Room, the Community Room, the restrooms, and the upstairs conference room.
- Set up coffee/beverage bar, making sure all supplies are fresh and not expired.
- Place the “Visitor Log” on the front desk.
- Check the flag on the outdoor flag pole to make sure it’s flying freely; and, if directed, lower to half staff/raise to full staff.
Building Closing Procedure
As the last person to leave the building, it is your responsibility to ensure that the building is properly closed and secured for the night.
Here are the steps to closing the building:
- Lock the front door first.
- Clean up coffee/beverage bar.
- Check to make sure ranges/stoves have been turned off.
- Empty trash in the dumpster behind Rumor Design, if necessary.
- Check that everyone has left the building.
- Turn off ceiling, wall, and chandelier lights. Turn off A/V equipment.
- Close and lock all windows and interior doors.
- Set the security alarm. Note: There are 60 seconds to exit the building and lock the door prior to the system activating.
- Exit the building and ensure door locks behind you.
